When a company grows rapidly, it's quickly determined whether internal processes can keep pace – or if they will increasingly cost more time and money as the company grows. For Paul Goliasch, Managing Director of DGS Building Cleaning, it was therefore clear from the outset that digitalization shouldn't be a later optimization project, but rather the foundation for healthy growth.
Paul brings experience from real estate and office administration and understands how quickly manual processes can become unmanageable. Especially in building cleaning, with recurring assignments, multiple properties, and many employees, small inaccuracies can have significant consequences.
Today, DGS benefits from having set the right course early on. With PlanD, all relevant information converges centrally – transparent for employees, traceable for clients, and accessible at any time for management. For Paul, that's the crucial difference: Everything is in one place, nothing gets lost, and clients can always see when services were rendered – a real game-changer.
Challenge: Rapid Growth Requires Clear Structures
DGS Building Cleaning has officially existed since July 23, 2025. Since then, they have grown very quickly and now have 19 employees. Previously, Paul Goliasch ran a sole proprietorship and gained extensive practical experience. With a cooperation with a Dortmund-based property developer, the company was then deliberately scaled up: new properties, new employees, new demands.
It quickly became clear that traditional timesheets couldn't keep up with this pace. “Employees filled out timesheets by hand, put them in an envelope, and mailed them – just so the company in the same city could correctly record the hours,” explains the Managing Director.
It quickly became clear to him that this paper-based system was not only inefficient but also expensive: “If each employee records just half an hour too little or incorrectly each day, that quickly amounts to around €20,000 in losses over the year. These aren't minor issues, but real costs due to a paper-based system.” In addition,
For recurring cleanings, mobile assignments, and multiple properties, DGS therefore needed a system that reliably integrates time tracking, material management, and deployment planning.
Decision for PlanD
When selecting software, Paul specifically looked for a solution that fit the reality of building cleaning. Many systems are designed more for one-off projects, whereas DGS works with recurring, stationary, and mobile assignments.
PlanD proved to be the right choice in this regard. Today, DGS uses the system comprehensively – for time tracking, deployment planning, and invoicing. A significant amount of work is eliminated, especially due to the dynamic positions and automatic invoice dispatch.
However, what was most crucial for him was the overview: Everything is in one place, understandable for employees, and transparent for clients. This clarity and automation ultimately tipped the scales.
Implementation and Daily Use
The introduction of PlanD was structured and without major hurdles. It quickly became apparent how much daily work had changed.
Digital Time Tracking
Whereas in the past, handwritten timesheets were filled out, sent, and manually transferred, employees now record their hours directly in the app. Paul describes the difference quite pragmatically: "Just the other day, timesheets were done by hand – today I can see directly when and who was on site."
This creates real-time transparency and prevents precisely those inaccuracies that previously led to high annual losses.
Automatic Invoicing
PlanD also provides noticeable relief in billing. Recurring invoices are automatically generated, sequentially numbered, and sent directly via email: "Especially with many properties, I would still be busy with last month's invoices today. This way, everything goes out automatically – which is extremely relieving for us." PlanD thus ensures accurate billing and reliable financial planning.
Material Ordering and Inventory Management
The difference is particularly noticeable in materials management: "Materials management is the biggest game-changer for us. I always see directly what is needed where." Precisely because many materials are stored directly at the customer's site, nothing gets lost, and queries or incorrect orders are avoided.
Deployment Planning and Absence Management
PlanD also helps with short-term changes in daily operations. Absences can be directly mapped, and replacements quickly scheduled. Paul sums it up: "We can immediately reschedule absences and assign the next employee. This way, nothing gets overlooked in daily operations."
Customer Communication
DGS deliberately focuses on transparency for customers. Via a QR code, they gain access to their individual dashboard, see deployments, and can submit tickets: "Customers immediately see when we were there, can write tickets – and all of this in a matter of seconds." PlanD thus replaces confusing notes, emails, or calls. Feedback lands directly in the system and can be specifically assigned. This ensures quick responses and high customer satisfaction.
Conclusion: PlanD as a Stable Foundation for Growth
For Paul Goliasch, ultimately, one thing matters most: that things run reliably for the customer and that employees can work efficiently. PlanD enables precisely that – through clear processes, transparent data, and a high degree of automation.
This allowed DGS Gebäudereinigung to establish digital structures from the outset, design processes efficiently, and optimally prepare for further growth.
